The Marketing and Office Coordinator plays a key role in supporting both office administration and marketing functions across the organization. This position ensures operational efficiency, consistent internal and external communications, and execution of marketing initiatives. The successful candidate will be organized, adaptable, and capable of supporting leadership, project teams, and marketing efforts simultaneously.
We are seeking a highly organized and proactive Marketing and Office Coordinator to support our growing construction and development company. This role is critical to keeping our office operations running smoothly while supporting marketing initiatives, internal communications, and brand consistency. The ideal candidate is detail-oriented, self-motivated, and comfortable managing multiple priorities in a fast-paced environment.
Job Duties and Responsibilities
Marketing:
- Develop and coordinate proposals for construction projects.
- Support presentation development, including coordination, layout, and design.
- Write, edit, and format marketing copy; design layouts and custom graphics.
- Assist in developing and maintaining the company’s marketing plan based on target markets and clients.
- Monitor and update the organization’s website and social media platforms on a monthly basis.
- Produce and maintain project case studies.
- Research, develop, and schedule social media content.
- Manage inventory of promotional and branded items.
- Coordinate company special events and attend events on behalf of the organization as needed.
- Collaborate with leadership to help establish marketing and office budgets.
- Assist with pursuit planning and client outreach activities ahead of RFP releases.
- Maintain proposal and marketing materials in accordance with established electronic file structure, access, and backup procedures.
- Ensure compliance with copyright laws and photographer usage rights.
- Assist with 3i's Foundation marketing efforts as needed.
Office:
- Maintain systems to organize and retrieve information related to clients, consultants, personnel, projects, proposals, and marketing assets.
- Oversee general office coordination and administrative support.
- Maintain office calendars to support workflow and meeting coordination.
- Plan, prepare, and execute monthly meetings for 3i’s subcontractor base, as requested.
- Answer incoming calls, take messages, and route communications appropriately.
- Collect, sort, and distribute incoming mail and correspondence.
- Assist leadership with scheduling and coordinating meetings, conferences, annual meetings, and customer appreciation events.
- Ensure conference rooms, lobby, supply rooms, and breakroom are stocked, organized, and presentable on a daily basis.
- Research, price, purchase, and maintain inventory of office equipment and supplies.
- Coordinate repair and maintenance of office equipment as needed.
- Monitor and manage public company email inboxes.
- Assist with 3i Foundation administrative efforts as needed.

Qualifications
- Previous experience in the construction industry is preferred.
- Bachelor’s degree in Business Administration, Marketing, Advertising, or a related field is beneficial.
- Prior experience in an office or administrative support role.
- Valid driver’s license.
- Strong interpersonal skills with the ability to work effectively across cross-functional teams.
- Ability to pass drug and background screenings.
- Willingness to complete behavioral and values assessments.
